Whether you are looking for a venue for brainstorming sessions, networking meetings, or in-depth industry discussions, the MECC provides a wide selection of meeting rooms for ESOC 2026.
As room availability is limited this year, we strongly encourage you to submit your Meeting Room Request Form at your earliest convenience. Meeting rooms will be allocated on a first-come, first-served basis.
Upon receipt of your requirements, we will make every effort to meet your needs and will confirm your meeting room reservation accordingly.
General Guidelines and Regulations
The following guidelines and regulations are applicable to all scheduled meetings taking place during ESOC 2026.
Available Booking Times
Accessing the venue is possible from 7.30 every morning.
- Tuesday, 5 May 2026, 08.00 – 20.00*
- Wednesday, 6 May 2026, 08.00 – 20.00*
- Thursday, 7 May 2026, 08.00 – 20.00*
- Friday, 8 May 2026, 08.00 – 14.00
*Late-hours extension possible on request. Additional costs will apply.
Restrictions on Meeting Type and Size
During the official congress days, the meeting rooms are exclusively for company internal meetings or invitation-only gatherings. For meetings held during the official scientific program, the attendance is limited to a maximum of 50 individuals. Meetings exceeding this limit can only be arranged outside the official programme during the following time slots:
- Wednesday, 6 May 2026, 08.00 – 08.30, 18.30– 20.00
- Thursday, 7 May 2026, 08.00 – 08.30, 18.30 – 20.00
- Friday, 8 May 2026, 08.00 – 08.30, 12.30 – 14.00
Please note that these restrictions do not apply to the pre-congress day Tuesday, 5 May 2026.
Access
All persons involved in the operation of the meeting room must be registered for ESOC 2026 as a delegate or an exhibitor and have a valid badge to access the meeting room. All meetings are subject to the rules outlined in the meeting room policy provided by ESOC.
Approval Requirement for Meetings
All meetings, regardless of the venue within the host city, must be approved by the Conference Secretariat (Congrex Switzerland Ltd). This includes meetings held at the conference venue and other locations. Company-sponsored symposia open to all participants, except for the official “Satellite Symposia” included in the congress programme, are not permitted.
Social Activities
Social activities are not permitted to run concurrently with the ESOC 2026 conference hours. Therefore, please plan any company activities for Wednesday, Thursday, and/or Friday evenings outside the congress hours specified below:
- Wednesday, 6 May 2026, 08.30 – 18.30
- Thursday, 7 May 2026, 08.30 – 18.30
- Friday, 8 May 2026, 08.30 – 13.00
Catering
For your convenience, you can place catering orders directly with the catering service. Contact details will be provided with the confirmation.
Please note that catering can only be ordered AFTER receiving your room booking confirmation.
Promotion
The following statement must be prominently displayed and included on all advertisements, marketing pieces, invitations, meeting materials, etc. for the event:
- Not an official event of the ESO Conference.
- Not sponsored or endorsed by ESO.
No event marketing may be done at the ESO Conference venue except within the confines of an individual exhibit booth. Outside the booth, but within the ESO Conference venue, representatives may not set up tables or otherwise distribute or display signs, flyers, invitations, or use other means of gathering people for the event without confirmation by the Secretariat beforehand.
